Analytics

What it is

Analytics shows how your business did over a period you choose: revenue, costs and net profit, compared with the same dates last year, and where the money went. It is built from your orders and the costs Voorcast knows about, including your cost rules.

  • Current Period, at the top: revenue, volume, orders, costs and net profit, with a one-line summary of what changed.
  • Period Comparisons: the same figures side by side over different timeframes.
  • Cost & Margin Charts: how your costs are made up, and revenue, costs and profit over time.
  • Cost Drivers: which kinds of cost grew faster than revenue.
  • Rule Performance Breakdown: profit by customer group, shipping method, payment method and cost scheme. Click a row for its trend, cost breakdown and orders.

When you'd use it

  • At the end of a month or season, to see whether profit kept up with revenue.
  • When margins feel thin, to find the cost that grew: shipping, payment fees, packaging or discounts.
  • To check whether a shipping or payment method is losing money on small orders.

How to use it

  1. Open Analytics from the menu. On a phone it's in the menu drawer.
  2. Pick a period with the date picker. It starts on the last month. The presets go from Today to Year to Date.
  3. Open the sections you need. Each one can be collapsed.
  4. To take the numbers elsewhere, use Export and choose CSV (Excel) or JSON (Detailed).

How the numbers are worked out

  • Orders counts orders that are pending, processing or completed. Cancelled, concept and expected orders are left out.
  • Revenue is what customers paid for the products, excluding VAT, plus the shipping they paid.
  • Costs add up the purchase cost of what was sold, shipping, payment fees, packaging, cost schemes and discounts. Net Profit is revenue minus costs.
  • The purchase cost of an order is the one that applied when the order came in, so a later price change doesn't rewrite past months.
  • The headline compares with the same dates last year. Until you have a year of history, it compares with the period just before yours, of the same length.
  • In the rule tables, an order counts toward every rule that applied to it. So cost scheme shares of revenue can add up to more than 100%.

Good to know

  • Everyone in your organisation can see Analytics. Customer Group Profitability needs the Professional plan.
  • New orders come in from Picqer as they happen, and everything is checked again overnight.
  • A new account starts with little history, so the trend chart and comparisons fill in as your order history syncs.
