Your first purchase order

What it is

Once your first sync has finished, Voorcast knows your stock, your sales and your suppliers, and marks each product that needs buying. You collect those products on a draft, one per supplier, check the quantities, and send the draft to Picqer as a purchase order. This is the last step of the Get started checklist on your Home.

How to do it

1. See what needs ordering

Open Products and, under Filters, set Action label to Reorder Now. These are the products Voorcast says to buy now. Reorder Soon shows the ones due next. If your Home shows an Out of Stock tile, it opens the same list for products that have run out while customers still order them.

2. Put products on a supplier draft

In Drafts, click New Draft, choose the supplier and click Create Draft. On the new draft, click Add Products, switch the filter to Recommended, and use Quick Select → Select Recommended to pick the products Voorcast suggests for that supplier. Adjust any Qty to Order, then click Add to draft. From a product's own page, Reorder now does the same for one product: it adds it to its supplier's draft, starting one if there isn't one yet.

3. Check the draft

  • Change a quantity in the Qty column; the draft saves as you go.
  • Remove a line with the bin icon. Undo in the message puts it back.
  • The Minimum Order and Free Shipping bars show how far the order is from the supplier's minimum order value and free-shipping threshold, when you have entered them for that supplier.
  • Add Notes or an Expected delivery date if you want them on the order.

4. Send it to Picqer

  1. On the draft, click Send to Picqer.
  2. Check the summary in Send PO to Picqer?: the supplier, the number of products and the total.
  3. Click Send to Picqer.

The draft leaves Drafts, and the order appears under Purchase Orders with the status Draft. In Picqer it is a concept purchase order: open it there to place it with your supplier. Once it is placed, Voorcast shows it as Ordered.

To send several drafts at once, tick them and click Send to Picqer in the bar at the bottom.

Good to know

  • Sending needs Picqer. Until it is connected, Send to Picqer is greyed out; see Connecting your store.
  • A draft below the supplier's minimum order value can still be sent. Voorcast warns you first.
  • Discard draft removes a draft you no longer want.
