Urgency rules

What it is

Urgency rules decide which of your open purchase drafts go under Can't wait on your Home, and which can sit under When you have time. Voorcast compares how long each product's stock will last with its supplier's delivery time plus a margin, the Safety buffer. If any product in a draft would run out before then, the whole draft moves to Can't wait.

Two things are always Can't wait, whatever the buffer: a product that is out of stock with demand, and a purchase order past its delivery date.

You don't have to set anything. Voorcast works the buffer out from how much your suppliers' delivery times vary, and keeps it up to date.

When you'd use it

  • Your suppliers often deliver late and you want an earlier warning: raise the buffer.
  • So many drafts land in Can't wait that the lane stops telling you what matters: lower it.
  • A busy season or a holiday shutdown is coming and you want extra margin for a while.

How to set it up

  1. Open Settings and choose Urgency rules under Core System. You can also use the Urgency rules link at the top of your Home.
  2. The Safety buffer card shows the value in use. "Auto" means Voorcast worked it out for you.
  3. Enter a whole number of days, 1 to 60, in Safety buffer (days), and click Save.
  4. To go back to the automatic value, click Reset to recommended.

Good to know

  • Only admins and owners can change it.
  • Once you save a number, it stays fixed. It stops following your data until you click Reset to recommended.
  • Left alone, the buffer is somewhere between 2 and 21 days. Until enough of your suppliers have a delivery time set, it is 7 days.
  • A supplier without a delivery time is treated as taking your suppliers' typical time.
